Review the discovery meeting notes.
Review the Quotes provided by the client:
- Do they split the charges (ERE/DIS) and show the break down or is it all included in one figure for the one off costs and hire on another line.
- Check ALL QUOTES to see if they do them all the same or not. This will show if we need to do more than one template. Example: Some clients have two types 1. that shows the one off charges as one sum and then 2. one that shows the breakdown of one off charges.
- Consider if they charge one off charges up front on install or if they split the one off costs per install and dismantle. Examples: 100% on Install, 70% install /30% dismantle or 60/40.
Review the Income/Revenue Chart of accounts:
- If they have separate codes for transport, hire and labour then you MUST set these products up separately no matter what. We can always lump them as one sum on the Quote Template.
- Chart of accounts also gives us a clue of other types of work that may not be on the quotes such as Shrink Wrap or Site Fencing, then we can as for quote examples for these to see how they do it.
Review the invoices:
- Check if the charges are split in the invoice. Example: In the quote they could show all one off charges in one lump sum, but split these up in the invoice. ON QUOTE: Erect, Dismantle and transport = $2000.00, then ON INVOICE: Erect Labour $1000.00, Dismantle Labour $500.00, Transport $500.00.
- Check for any charges/other types of work that you haven't seen on the quotes.
NOTE: Having one or two income/revenue codes is a lot simpler to set up.
