Creating New Activities, Dockets or Sub Jobs out at the Worksite

OVERVIEW:

From time to time team leaders ONSITE may need to add work to the days schedule.

This can be a Variation, a Dayworks or even a delivery or pickup request. By configuring the Work Types the software can be configured to send requests or allow the creation of a docket for entering timesheets or checklists against.

STEP 1. From the My Dockets page in the ONSITE MENU click the "ADD DOCKET" or "ADD SUBJOB" blue button.

STEP 2. Check that you have the RIGHT Date for the docket to be created for (as you may want to future date a docket request.) 

STEP 3. Select the Type of Docket from the list. This list of Work Types will be different for each of our clients but generally has work types like ERE for Erect or DIS for Dismantle or VAR for Variation. Please see the list of work types for you company in the ADMIN MENU -> Work Types List option. Click to review the Work Types List . Only certain work types can be selected from the Team Leaders My Dockets page. This is to limit the number of options that a team leader needs to select from.

STEP 4. After searching for and selecting the main Job or Project the system will then open up more fields as below. 

STEP 5. You can then use an Existing phase of work.

STEP 6. Then select the Phase of work you are wanting to select and attach this docket too.

STEP 7. OR you can select the "2. NEW Phase of Work" option. This will open up fields to create the Phase and record basic details that can be sent in the REQUEST to the client for Approval.

STEP 8. Select the TYPE of Phase.

  • Variation - Used for Day works or alterations that are CHARGEABLE or NOT on an existing jobs
  • BackCharge - Used for times where you were scheduled to do Contract or Variation work and you were HELD UP by the client or other sub contractors on the site. This allows you to record the downtime that you may need to recover
  • Contract - Adding a Contracted piece of work from the field. This is NOT normal but may be possible under rare situations

STEP 9. Phase or Subjobs code is an incrementing number or Other code that you can enter. They should be unique for different phases of work.
